Set up a payment plan

A payment plan splits a single invoice into smaller instalments, each with its own due date and status. It’s the tidy way to let a family spread a larger bill — a full term, say — across several payments rather than paying it all at once.

Before you start

A payment plan is set up on a sent invoice, so the invoice needs to exist and have gone out first. You’ll also need payment plans switched on for your studio (see the last section).

Split an invoice into instalments

  1. Open the invoice from Billing & Finance → Invoices, then select it to open the invoice detail.
  2. On the invoice detail, choose Set up a payment plan.
  3. Choose how many instalments (2, 3, 4, 5, 6, 8, 10 or 12), a cadence (Monthly or Weekly), and a first due date. LessonLoop splits the total evenly across the instalments and schedules the rest from your first date — you don’t type each amount or each date yourself.
  4. Select Create payment plan. Each instalment now appears on the invoice with its own due date and its own paid / unpaid status, and the instalments always add up to the invoice total.

Good to know A payment plan changes when a family pays, not how much — the instalments always add up to the original invoice total.

How parents pay

Parents pay each instalment individually from the parent portal. In their Invoices, every due instalment shows its amount and date, and they settle them one at a time as each falls due — by card if you’ve connected card payments, or by your other accepted methods. As each instalment is paid, its status updates and the invoice moves towards fully paid.

Whether payment plans are offered at all is governed by Settings → Billing & subscription → Online payments. If you can’t see the Set up a payment plan option on an invoice, check that it’s switched on there first.

Don't mix these up "Billing & subscription" in Settings is where you manage your own LessonLoop plan and online-payment options. "Billing & Finance" in the sidebar is where your studio's invoices to families live.
