Ask LoopAssist anything

LoopAssist is your built-in assistant. You can ask it plain-English questions about your studio and it answers from your own live data — no menus, no reports to dig through. It can also draft work for you, and it always checks with you before doing anything.

How to open it

Select the sparkle in the top bar (it’s there on every staff page). The parent portal doesn’t include LoopAssist.

Ask it a real question

Type the way you’d ask a colleague. The more specific you are, the sharper the answer. Good examples:

  • “Who hasn’t paid?”
  • “Who has missed lessons lately?”
  • “How do I set up card payments?”
  • “Which students are owed a make-up?”
  • “How much did I invoice last month?”

You can ask follow-ups in the same conversation — “just the ones overdue by more than two weeks” — and it keeps the context.

Let it do the work — with your say-so

LoopAssist doesn’t just answer; it can propose an action and tee it up for you. For example, it might offer to:

  • send payment reminders to families who are overdue,
  • start a billing run, or
  • draft an email or message for you to review.

You're always in control. LoopAssist never changes your data on its own. Whenever it proposes an action, it shows you exactly what it will do and waits for you to confirm. Nothing happens until you say yes — and you can edit or cancel before you do.

Getting the best answers

  1. Name the thing. “Overdue invoices for the Patel family” beats “money stuff”.
  2. Add a timeframe. “missed lessons this term”, “invoiced in May”.
  3. Ask for the next step. Finish with “…and draft a reminder” or “…and show me who to chase”.
  4. Refine, don’t restart. Tighten the same question with a follow-up rather than starting over.

Your daily allowance

Each plan includes a daily message allowance for LoopAssist, so the number of questions you can ask per day depends on your plan. If you reach the limit, it resets the next day. You’ll see a note if you’re close.

When it points you somewhere

Sometimes the quickest route is a screen, and LoopAssist will tell you where. If you ask “how do I set up card payments?”, for instance, it points you to Settings → Integrations — see Set up card payments for the full walkthrough.
