When a visitor taps one of the Next openings on your booking page, they’re not booking — they’re asking. The time they picked travels with their enquiry as a requested time, and you decide.
Where requests arrive
Messages → Requests. The tab carries a count of anything waiting, so a request never sits unnoticed behind your conversations.
Two kinds of request land here:
- Booking requests — new families. Someone from your public page asking for a specific opening.
- Change requests from existing families — portal cancellations and reschedules, where your policy asks you to decide.
Who sees Requests Approving a request books or moves a lesson, so the tab is for owners and admins.
Approve, and they’re booked
Each booking request shows who’s asking, how to reach them, and the time they want.
Choosing Approve does the whole job in one step: the enquiry becomes a student, and the lesson is booked at the requested time with the requested teacher. There’s nothing else to type in.
Decline, kindly
Choosing Decline marks the enquiry lost so your pipeline stays honest — and, where the visitor left an email address, opens a reply already written in your email app: a friendly note saying the time they asked for isn’t available and inviting them to send a few that work. Edit it, send it, and the conversation carries on even though the slot didn’t.
A request is never a hold
This matters when two families want the same Tuesday.
- The opening stays bookable while a request is pending — nothing is reserved.
- The time is re-checked at the moment the request is submitted, and again when you approve.
- If the request has already been dealt with — a colleague declined it while you were looking — approving is refused rather than double-booking your evening.
So approve promptly when you want the booking, and don’t assume a pending request is protecting the slot.
