A late fee is a small charge posted to a family’s account once an invoice has been overdue for a set number of days. It’s optional, and it’s a gentle way to encourage on-time payment without you having to chase every family by hand.
Where to set it up
Late fees live under Settings → Billing & subscription → Late fees.

Good to know This is your own studio's Billing & subscription settings — the same place you manage your LessonLoop plan. It's a different thing from Billing & Finance, where you create and send invoices to families.
Choose how the fee works
- Open Settings, then Billing & subscription, and select Late fees.
- Choose the type of fee:
- None — no late fee is ever added. This is the default.
- A fixed amount — a flat charge, for example £5, regardless of the invoice total.
- A percentage — a proportion of the outstanding balance, for example 5%.
- Set the grace period — the number of days an invoice can be overdue before the fee is applied. This gives families a little breathing room after the due date.
- Save your changes.
How it applies
Once switched on, the fee is applied automatically — checked once a day — to any invoice that passes its due date plus your grace period. You don’t need to add it by hand. The fee isn’t added to the original invoice (which is never changed); instead it’s posted as a separate charge on the family’s statement, so it shows up in what they owe overall.
Worth knowing Late fees work alongside your normal reminders. Keep your overdue chasing on too — see Chase overdue invoices — so a fee is a last nudge, not the first a family hears of it.
Turning it off
To stop charging late fees, return to Settings → Billing & subscription → Late fees and set the fee type back to None. Any fees already charged stay as they are — they remain on the family’s statement; overdue invoices simply won’t pick up any new fees from here on.
