Your data and privacy (GDPR)

Updated 27 June 2026 · 2 min read

LessonLoop gives you the tools to meet your data-protection obligations: take a full copy of your organisation’s data, permanently delete data when you need to, and see a record of what changed and who changed it. They all live together under Settings → Advanced.

Where these tools live

ToolWhat it does
Export data (GDPR)Downloads a complete copy of your organisation’s data — useful for a backup or a data-access request.
Delete data (GDPR)Permanently removes data. This cannot be undone.
Audit logA read-only record of changes made across your organisation.

To reach them, open Settings (the gear in the left sidebar), then choose Advanced.

Export your data

  1. Go to Settings → Advanced → Export data (GDPR).
  2. Start the export. LessonLoop gathers your organisation’s records into a downloadable copy.
  3. Save the file somewhere safe. It contains personal data, so keep it secure and share it only with the right person.

This is the export you’d use to answer a subject-access request or to keep your own backup.

Delete data

When you need to erase data — for example, to honour a request to be forgotten — use Settings → Advanced → Delete data (GDPR).

This is permanent. Deleting data here cannot be undone. There is no recycle bin and no recovery. Take an export first if you might need a copy, and double-check exactly what you're removing before you confirm.

Review the audit log

The Audit log (Settings → Advanced → Audit log) is a read-only history of changes in your organisation — what was changed and by whom. It’s the place to look when you need to check who edited a record or when something changed. You can read it, but you can’t edit or remove entries, which is what keeps it trustworthy.

A note on parents’ data

Each family’s own data also sits behind their account in the parent portal. The tools above act at the level of your whole organisation, so reach for them when you’re handling a formal data request or a wider clean-up rather than a single small edit.
